Working with Roadmaps

Roadmaps point to the actual work done by the teams to complete an initiative. This is the last dot that connects your strategy to the actual work done by the teams. Once this link is established, you’d be enabling Prakya to do the heavy lifting required to track progress of your strategy based on the actual work executed by your teams.

How to add Roadmaps to an Initiative

  1. To quickly add a roadmap item to the initiative
    1. Click on the Settings icon to the left of the initiative title. Prakya will bring up the menu as shown in Figure 13.
    2. Click on the Add Roadmap option. Prakya will pop up the Add New Roadmap Item(s) dialogue as shown in Figure 15.
      1. Give a name to the roadmap item
      2. Select the estimated start and end dates within which the roadmap item is to be complete.
      3. Assign a user as an owner to the roadmap item. By default, Prakya loads up the current user as the owner. However, you can remove this assignment by clicking on the “x” mark to the left of the user. You can then enter the name of the user and Prakya brings up a list of matching names. Select the correct person.
      4. Click on Save to save the changes. Click on cancel to discard adding the roadmap item.
    3. You can click on the “+” button to the top right of the dialogue to quickly add more roadmap items. Pressing enter while you are in this screen will also work the same way.
    4. These can be edited later to have more details using the Edit Roadmap option.

  2. You can also add a roadmap item using the Edit Initiative dialogue. To add a roadmap item in this way
    1. Click on the Settings icon left to the initiative title. Prakya will bring up the menu as show in Figure 13.
    2. Click on the Edit option. This will bring up the Edit Initiative dialogue as shown in Figure 14.
    3. Navigate to the Roadmaps section and click on it to expand.
    4. This should show any existing Roadmap items already added to the initiative in the form of a table. Otherwise, you’d see a message “No roadmap items found for this initiative.”
    5. On top of the roadmap items table or the message, you will find the label ”Roadmap” with a “+” symbol. Clicking on the “+” brings up the New Roadmap Item dialogue as shown in Figure 16.
      1. Give a name to the roadmap item using the Title Text Box.
      2. Add a Description to your roadmap item. The rich text features allow you to create a visually effective document for your team.

      3. Select a feature(s) that you want to link this roadmap item to using the Backlog Item field. You can enter a few words of the feature. Prakya will bring up the list of matching features. Select one of the features to attach it to the initiative. You can attach/link multiple features to the roadmap item.
        1. When you attach more than one feature to the roadmap item. Prakya will do the heavy lifting required to capture progress from each of these features and use that to indicate progress of the Initiative and objective.
        2. The progress that you see in the green bar to the right of the objective title and below each initiative, is the aggregated progress of all the features attached to the corresponding roadmap items.

        Note: It is important to note that once a feature is assigned to one roadmap item, it cannot be assigned to any other roadmap item. That is to say, a roadmap can contain multiple features, but one feature will always belong to one roadmap item.

      4. Select the Estimated Start and Estimated End dates for this roadmap item. Note that the time frame for a roadmap item is bound by the time frame for the initiative.
        1. For example, if an initiative begins from 01st Nov 2021 and ends on 31st Jan 2022, then all the roadmap items must follow within this time frame.
      5. By default, the current user is listed as the owner of the roadmap. You can remove this by clicking on the “x” icon to the left of the username. If you key in the name of the user who you want to assign as the owner for this roadmap item, Prakya will bring up a list of matching names. Select the right team member and assign ownership.
      6. Click on the Save option to save the roadmap item. Click on Cancel to discard all changes.
  3. To add new roadmap items, repeat the steps as above.

How to edit roadmap items

Editing roadmap items is simple. Just navigate to the roadmap item by expanding the objective and initiative as necessary. You can open the full screen mode of the objective, or the initiative as discussed in the previous section if you have a lot of work to do here.

To edit a roadmap item

  1. Click on the roadmap item. Prakya brings up the Edit Roadmap Item dialogue as shown in Figure. This will have all the previously saved information about the roadmap.
  2. Alternatively, you can
    1. Click on the Roadmaps icon to the left of the initiative title. Prakya will bring up the menu as shown in Figure 13. Click on the Edit option to bring up the Edit Initiative dialogue as shown in Figure 14.
    2. Navigate to the Roadmaps section and expand it by clicking on it. This will show all the roadmap items attached to this Initiative as a table.
    3. At the end of each row of the table, there are Edit and Delete icons. Click on the Edit icon to bring up the Edit Roadmap item dialogue.
    4. If you can’t see the icons, you can use the horizontal scroll bar to scroll to the icons.
  3. Make the changes for this roadmap item as needed.
  4. Click on Save to save the roadmap item. Clicking on Cancel will discard all changes made.

To delete a roadmap item

  1. Click on the Settings icon to the left of the initiative title. Prakya will bring up the menu as shown in Figure 13. Click on the Edit option to bring up the Edit Initiative dialogue as shown in Figure 14.
  2. Navigate to the roadmaps section and expand it. It will have all the roadmap items that have been created within this initiative. In each row you will find the edit and delete icons. If you aren’t seeing those icons, then you can scroll horizontally to see those icons.
  3. Click on the Delete icon. Prakya will ask you to confirm the delete. Click on the Yes button to delete the roadmap item. Click on the No button to keep the roadmap Item.
